Introduction
Auckland Youth and Community Centre Limited wishes to recruit a Volunteer Co-ordinator to work within the organisation. Our mission is to provide the children, young people and adults living on the Woodhouse Close estate (Bishop Auckland) with opportunities to enhance their development and widen their horizons. We provide this support through a range of activities, interventions and learning experiences, which we deliver according to people’s age, needs and circumstances.
Purpose of the Job
- To develop and maintain a sustainable volunteering strategy for AYCC
- To provide a high standard of volunteering opportunities at AYCC
- To help to improve and maintain the quality and consistency of AYCC’s offer
Additional Information
The successful candidate will have experience with working with people with a wide range of circumstances, backgrounds, and needs, and experience working within disadvantaged communities. They will have experience in managing/coordinating projects and using IT systems and software packages (Microsoft Teams, Outlook, Excel, and Word). They will have excellent interpersonal, communication, planning, and time management skills. They will also have a diplomatic, non-judgmental approach to working with people and a commitment to ensure complete confidentiality at all times.
Job Profile
- Implement AYCC’s Volunteer Policy and Procedures.
- Monitor and review the Volunteer Policy and Procedures and Volunteer Handbook on a regular basis.
- Ensure that there are clear, logical links between the Volunteer Policy and Procedures and AYCC’s business plan (and other strategic documents).
- Liaise with AYCC managers to:

- understand and identify the main areas of volunteering support needed by staff
- check if these are covered by existing opportunities
- identify any significant ‘gaps’ and create new volunteering opportunities, role descriptions and person specifications (as appropriate)
- meet regularly to monitor and evaluate all volunteering roles, including outcomes and benefits.
- Adapt service delivery (methods of delivery, changes to services) to meet changing circumstances.
- Develop good working relationships with AYCC’s volunteers and liaise with them to:

- understand and support their ways of working
- help them to access their wider volunteering needs
- understand their wants and needs beyond their volunteering role (e.g., why do they wish to volunteer with us?) and provide the appropriate response and support.
- Liaise closely with AYCC service managers to check that lines of communication, reporting etc. are clear and appropriate and that the volunteers are receiving the support and direction they need to carry out their tasks (tasks will be directed by service managers in the relevant activities and projects).
- Raise awareness of the role(s) and function(s) of the volunteers among AYCC staff and trustees e.g., through internal communication including the provision of regular updates in team meetings.
- Represent AYCC at external meetings and events e.g., volunteering co-ordinator network meetings and use these opportunities to interact with representatives of other groups working with volunteers:

- promoting AYCC’s volunteering roles and vacancies
- celebrating AYCC’s successes with, for example, good news stories and case studies
- sharing and gathering good practice.
- Promote AYCC’s volunteering opportunities – including the benefits which can be gained through volunteering – through publicity, strategies and campaigns, online and locally.
- Support the recruitment and selection process to recruit volunteers and to ensure that each volunteer is appropriately checked, matched and trained for a position.
- Liaise with staff and volunteers to organise rotas.
- Liaise closely with AYCC service managers to provide volunteers with the appropriate support and motivation, throughout their volunteering journey with us – including:

- induction
- monitoring and ongoing support e.g., regular reviews
- accreditation (where possible)
- training and development.
- Create an induction and training procedure for all new volunteers to support the above.
- Organise and co-ordinate profile-raising events to attract new volunteers and celebrate success.
- Ensure consistently high standards of quality assurance (QA) in our volunteering service by liaising with AYCC’s managers and trustees to:

- perform regular quality checks or audits (review against our Volunteer Policy and Procedures)
- research the potential benefits / costs of applying for QA benchmarks, kitemarks etc.
- co-ordinate applications for these awards, if it has been deemed appropriate to apply for them.
- Identify personal development needs and promote own professional development by attending appropriate courses and study days.
- Participate in in-service training and personal development opportunities as identified through supervision and appraisal.
- Perform other duties, appropriate to the nature of the post and the hours of work, which may be reasonably assigned by the Board of Trustees or your manager.
